Data Deletion Request

You have the right to request deletion of your personal data held by TerraFlow at any time. This page explains what data we hold, what gets deleted, and how to submit your request.

What data we hold

Depending on how you use the Service, we may hold the following personal data about you:

  • Account information (name, email address, phone number, profile photo)
  • Login credentials (password hash — the original password is never stored)
  • Notification preferences and device push tokens
  • Activity logs within the platform
  • Any content you or your organisation has uploaded

Operational fleet data (trucks, trips, fuel logs, etc.) belongs to your organisation's account, not to you personally. Deletion of your personal profile does not automatically delete your organisation's operational data.

What gets deleted

Upon a verified deletion request we will:

  • Permanently delete your user account and login credentials
  • Remove your name, email, phone number, and profile photo
  • Delete your notification preferences and device tokens
  • Anonymise (not delete) activity logs where they are linked to your account, to preserve the integrity of your organisation's operational records

We will complete deletion within 30 days of your verified request. Some data may be retained for up to 90 days in encrypted backups before being permanently purged.

What we may retain

We may retain certain information where required by law or for legitimate business purposes, including:

  • Records required by financial or tax regulations
  • Information necessary to resolve an open dispute or enforce our Terms of Service
  • Anonymised, aggregated data that cannot identify you

How to request data deletion

Option 1 — Email

Send a deletion request from the email address associated with your account.

Option 2 — Contact form

Use our contact form and select "Privacy request" as the subject.

Please include in your request:
  • The email address associated with your account
  • Your full name (to help us verify your identity)
  • Confirmation that you want all personal data deleted

We will send a confirmation to your email address once the deletion is complete. If we cannot verify your identity we may ask for additional information before proceeding.

Response time

We will acknowledge your request within 5 business days and complete the deletion within 30 days. If we require more time we will notify you and explain why.
